Description & Requirements

Who we are looking for
  • Strong English written and oral communication skills.
  • Strong knowledge of Windows and Microsoft Office, Word, Excel, Calendar, Contacts and Apple’s OS and technically savvy.
  • Well organized, dependable and focused on the Sponsor’s needs.
  • Proactive attitude, being one-step-ahead  especially in managing  the agenda, with a long-term approach.
  • Multi-tasking, with good sense of prioritization and problem-solving skills.
  • Strong attention to details, critical thinking, analysis and conflict-resolution skills.
  • Integrity and ability to manage confidential information.
  • Friendly but discreet, outgoing personality.

Your future role

Main Responsibilities: Manages Calendar, Contacts and Mail, in more detail below:

  • Organize  meetings (liaising with internal and external clients to ensure all participants are aware of, available and prepared for the meeting, prepare and disseminate necessary documents, drafting meeting agendas if needed);
  • Handles all necessary logistics for the meetings (room & other equipment, transportation, catering, etc.);
  • Manages the calendar of the Sponsor in advance with specific attention to overlaps, recurrent meetings, onward looking, introducing invitations with all relevant  details.
  • Manages confidential and highly sensitive information, acting in accordance with the ethical Code of Conduct of Deloitte Global.
  • Identifies (in correspondence) and monitors actions that involves the Sponsor and/or other third parties and follows them through until completion, making sure all deadlines are met.
  • Liaises with staff and clients acting as a first point of contact.
  • Arranges phone calls/video conference calls .
  • Maintains the contact databases up to date (business contacts, clients lists, authorities, etc.).
  • operates and updates the Sponsor’s internal client database.
  • Organizes business trips (train, airplane tickets, hotel bookings and car rentals).
  • Works with the internal finance team regarding payment of business-related invoices and expenses.
